Membership Management

NeatWorx.COM allows a practically unlimited number of users or members to be stored on-line. Because most users will have login access and be able to access their own profiles, it is easy for people to keep their own contact information up to date saving a club registrar a tremendous amount of time.

Because the built in Newsletter capability has a mail merge function, it is possible to generate unique e-mail messages to each user asking them to verify their personal information and provide them with a link to securely update their member information if they see that anything is incorrect.

When users register, they have the choice whether they are willing to share their contact information with others. By default, member information is never shared with the public and is only visible when someone logs into the system. Only a system administrator can see confidential member information.

On-line events may be setup such that they are available only to your membership, or available to members of the general public. If a member of the public registers for an event or program on-line, their personal information can be automatically captured directly into your membership database to save re-keying data in future.

NeatWorx.COM has two main modes of managing membership and registrations. In an "open membership model", anyone is allowed to register by requesting a log-in on the site. This is useful if you are running an organization like a fan club or a small business interested in allowing prospective customers to create profiles on-line so that they can be kept informed of new offers or receive a regular newsletter. In the "approval required model", membership applications are readily accepted, however registrants will receive an e-mail from the system indicating that the membership application is pending administrator approval. Administrators or Organizers can elect to approve or not approve applications for membership, and they can slot members into the appropriate member category on receipt of their application for membership.

NeatWorx.COM also has facilities allowing you to "bulk upload" users from a source such as an external database or contact manager. NeatWorx.COM recognizes CSV exports from Microsoft Outlook and is able to map database fields intelligently. The system does not require all of these loaded users to have login accounts, and you may choose to add login-accounts for them in future. This means that you can easily load pre-existing members into your database and hit the ground running using the NeatWorx.COM website and membership management features.

Membership data that is stored in NeatWorx.COM can also be accessed securely through an authenticated handheld interface by site administrators and club executives. Using devices such as the RIM Blackberry below, calling or sending SMS messages and e-mails to your members from your blackberry is just a "click away".
