Getting Started

We want to understand the unique requirements of your club or association. We know that every requirement is slightly different. We specialize in adapting our software and approach to meet your individual needs. Our proven methodology allows us to implement a web-site to your specifications quickly and at a fraction of what a custom developed site would cost.

Below are steps we normally follow in implementing a club website solution.

1. No obligation consultation

By understanding your requirements, we can determine whether NeatClubs is a fit for your needs. We recommend an on-line demonstration conducted by web conference. During the web conference, we show you how NeatClubs works and how you can self-manage your site content and registrations.  Some customers like to browse our on-line documentation to get a sense of NeatClubs before arranging a call.

2. Proposal

If we jointly determine that NeatClubs.COM meets your needs, we will provide you with a written proposal. Our proposal will include a one-time site setup fee as well as a low on-going monthly fee that will vary based on your needs. Our "one-time" setup fees are typically in the range of $1,000 to $2,000, and our monthly costs vary between $50.00 and $300.00 per month depending on the complexity of your problem. Clubs or associations can cancel our service at any time without penalty. A distinct advantage of NeatClubs.COM is that it provides a straightforward pricing scheme with absolutely no hidden costs. All services are included, and even the PayPal merchant account requires no additional monthly fees other than credit card processing charges.

3. Customer Requirements Checklist

Should you elect to proceed with NeatClubs.COM, the next step is to help us complete a Customer Requirements Checklist (CRC). We will guide you through this process in a facilitated conference call. Properly documenting your requirements helps us ensure that we are tailoring a web-site to your particular needs.

4. Site Review Meeting

Following the completion of the CRC, we will stage your new website (or registration engine if you already have a site) at a temporary internet location. We will coordinate a site review meeting. This way you can see what the site looks like, and provide critical feedback. Your review will help us "get things right" before your new site goes live.

5. Orientation Session

Before going live, we will arrange an orientation session (conducted via web conference) to ensure that you are comfortable with maintaining the content of your site. We're here to help every step of the way when assistance is required.  Many clubs in our experience decouple getting their site up and running from the implementation of on-line registration and payment. We can easily set the site up so that on-line registration is possible, and turn it on only when you feel that you are ready from a business process standpoint.

6. Site "Go Live"

The next step  is to "go live" - at this point your new site will be live on the internet, and we will be projecting information about your programs and schedules. At this stage we are typically not yet accepting registration and payments. We manage all of the technical issues related to DNS & name server configuration, site migration issues and e-mail management for you to make this process as straightforward as possible.

7. Merchant Account Setup

For customers requiring on-line payment with their registrations, we will walk you through the process of setting up your no-cost merchant account. We will provide assistance to make sure that you are comfortable with handling incoming registrations. We will make registrations "live" and help you every step of the way until you get comfortable managing the site and processing your registrations and payments yourself.
